vFiler processes documents that are placed into a designated local or network folder in the way set out in the user defined workflow. This might, for example, include OCR'ing the full content of a document, scanning a bar code or processing the document as a form. The user definable workflow allows customisation of all the steps to maximise the performance.
Document workflows may include lookups against external data sources, such as business accounting databases or CRM systems, allowing additional metadata to be added to the document or to determine the OCR'ed contents validity. vFiler's ability to recognize different document types is a powerful feature that is used across many applications; this is particularly useful in Accounts Payable departments, where hundreds of vendor invoices, bulk uploaded to the capture folder, are immediately and accurately stored in KnowledgeTree.
The application also allows workflow designers to publish documents to user-defined local folders, bringing two major benefits: backups, for redundancy; and support for future document migration, using folder and file names as index variables.
A frequent use of vFiler is indexing or filing. After documents are captured, text can be read from the paper (via OCR) and validated against a business' accounting database for accuracy. This connection made to the database is through ODBC (Open Database Connectivity) and is powerful because it creates automated scanning workflows with 100% reliability.
The ability to recognise different document types is the vFiler flagship feature. This feature is used in many applications, primarily though in Accounts Payable (AP) departments. |
